Dear Mr Schindler,

Thank you for contacting the Transparency Unit of the European Parliament.

Further to your application under [1]Regulation (EC) No 1049/2001,
Parliament has identified four documents as falling within the scope of
your request, which have now been made publicly available, after the
deletion of marginal personal data, on Parliament's Public Register of
Documents, under reference EP-PE_DV(2023)0169: [2]here is the link.

The documents contain email exchanges referring to the conference
organised in October 2019 you mentioned in your application, as well as to
a similar conference being organised for 2022, and to the circulation of a
draft Charter of the European Encyclopedia Network. The latter charter is
still not final, as it has not yet been approved by the parties concerned,
but once finalised it will be published on the European Encyclopedia
Network's website.

On this basis, Parliament considers your application handled and the
procedure closed. Should you wish to submit any new requests for specific
Parliament documents, [3]please do not hesitate to come back to us.

Kind regards,

Dear European Parliament,
Dear Transparency Unit,

thank you for your response. I appreciate the work. I would, however, consider the attachments to the emails to be within the scope of the request.

I therefore invite you to release the following files:

June 3, 2022 email: "Second European and North American Encyclopedia Conference.msg"
July 25, 2022 email: "Conference topics.docx"
January 26, 2023 email: "Charter draftFINAL.docx"

The January 26, 2023 email refers to an email from December 19 (2022 presumably) that was not released and which would likely be within the scope of this request as well.

Before I start a formal internal review process under Regulation 1049/2001, could you please indicate whether the redactions in the mail headers refer to people names only or if they contain EU institution names and units as well? It is my understanding that redacting a Unit name would not necassarily be required in order to protect personal information.

Yours faithfully,

Mathias Schindler
