I am writing in reply to your request for public access to documents.

On 22 August 2021, via the platform asktheeu.org<https://www.asktheeu.org/en>, you asked the European Ombudsman’s Office to grant you public access to “the registration sheet” of a letter sent by a third person (‘the person concerned’), to the Ombudsman and “any documents related to it”.
We have registered your request on 26 August 2021 under the reference Ares(2021)5284327.

We have dealt with your request in accordance with Regulation 1049/2001[1] regarding public access to documents and the Ombudsman’s Decision on the handling of requests for public access to documents[2].

Concerning the ‘registration sheet’, please note that all incoming correspondence to the Ombudsman is dully registered. General correspondence is registered in our documents management system (ARES). Case related correspondence is registered in our case management system directly in the relevant case file. Statistical and registration information are integrated in the internal notes. Given that no such document exists, I am sorry to inform you that we are not in a position to fulfil this part of your request[3].

Following a thorough research in our records, we have identified the following four documents as falling with the scope of your request:

On 6 June 2017, we have granted you full access to the first two documents and partial access to the remaining documents in the framework of your previous public access request Ares(2017)2592022. You did not make use of the possibility to request a review of the decision on your previous request.

Should you wish to challenge this decision, you may request a review under Article 7(2) of Regulation 1049/2001 (‘confirmatory application’ procedure). Our Secretary-General will then handle the review request.
