Dear Mr. Mechels,
This request has been handled by the Office pursuant to Regulation (EC) No 1049/2001
regarding public access to European Parliament, Council and Commission documents and
the relevant analysis and decision is provided further below.
We refer to your request for access to documents whereby you requested copies of:
1. a list of all meetings held with the European Data Protection Supervisor (EDPS),
the Inter-Organisational Communications Committee (IOCC), and other
institutions regarding EU Voice, EU Video and open source social media
(Mastodon, Peertube, or other Fediverse related instances). The list should
include: date of the meeting, individuals attending and their organisational
affiliation, as well as the issues discussed;
After having assessed the requested documents, the Office informs you that it does not hold
such list.
2. all minutes and other reports of these meetings;
After having assessed the requested documents, the Office informs you that it has decided to
grant access to the documents hold by the Office. In a nutshell:
• EUIPO Internal notes
• 49th EDPS-DPOs meeting
Please note that, in accordance with the exception laid down in Article 4(1)(b) Regulation (EC)
No 1049/2001, we have redacted the personal information of the individuals mentioned in
these documents.

3. all correspondence, including attachments (including, but not limited to, emails,
letters, and/or telephone call notes), between your institutions and any of the
above-mentioned, including any intermediaries representing their interests; and
After having assessed the requested documents, the Office informs you that it did not
correspond with other institutions about EU Voice, EU Video and open-source social media
(Mastodon, Peertube, or other Fediverse related instances). Thus, it does not hold such
document.
4. all documents prepared for the purpose of these meetings and/or exchanged
during the course of these meetings.
After having assessed the requested documents, the Office informs you that it has decided to
grant access to the documents hold by the Office, but owned by the EDPS who has been
consulted on this case. In a nutshell, by order of date:

After having assessed the requested documents, the Office informs you that it does not hold
such document.
6. all reports, summaries, minutes, notes, or record-keeping and documents of any
kind produced by your institution of internal meetings relating to EU Voice, EU
Video and open source social media (Mastodon, Peertube, or other Fediverse
related instances), including date of the meeting, individuals attending and their
organisational affiliation, as well as the issues discussed;

After having assessed the requested documents, the Office informs you that the only internal
document it holds regarding the mentioned topics are the ones mentioned in point 2 above.
Thus, the Office has decided to grant access to these documents.
Please note that, in accordance with the exception laid down in Article 4(1)(b) Regulation (EC)
No 1049/2001, we have redacted the personal information of the individuals mentioned in
these documents.
7. any social media strategy documents and budget allocations related to EU
Voice, EU Video and open source social media (Mastodon, Peertube, or other
Fediverse related instances).
After having assessed the requested documents, the Office informs you that it does not hold
such document.
In conclusion, the Office has decided to grant you partial access to the documents it holds,
redacting the personal information of the individuals mentioned in said documents, in
accordance with Article 4(1)(b) Regulation (EC) No 1049/2001. Please note that, according to
Article 7(2) Regulation (EC) No 1049/2001, you have the right to make a confirmatory
application, within 15 working days.
