Under the right of access to documents in the EU treaties, as developed in Regulation 1049/2001, I am requesting documents since November 2014 which contain the following information:
- a list of lobby meetings held by this agency with Google or its intermediaries. The list should include: date, individuals attending + organisational affiliation, the issues discussed;
- minutes and other reports of these meetings;
- all correspondence including attachments (i.e. any emails, correspondence or telephone call notes) between this agency and Google or any intermediaries representing its interests.
- All documents prepared for the purpose of the meeting and/or exchanged during the course of the meeting

(EC) No 1049/2001 of the European Parliament and of the Council of 30 May
2001 regarding public access to European Parliament, Council and

2. Alternatively:

• For natural persons: Please provide an ID card/passport/residence permit
in the EU;

• For legal persons: kindly submit the registration of your entity in an
EU Member State and a proxy authorizing you to act on behalf of this
entity.

If you do not agree to submit documents containing personal data, we are
unfortunately not able to process your application.

 

We will start processing your application after providing you with
acknowledgement of receipt of the above mentioned documents and will reply
within 15 working days.

 

Please be informed that:

• The person responsible for controlling your personal data (data
controller) is the Head of the Transparency Office;

• Personal data is collected for the exclusive purpose of assessing the
nationality/proxy of the applicant and, if applicable, the seat of the
entity represented by the applicant;

• Only relevant staff members have access to your data;

• Your data is deleted at the latest when you receive the final reply.
Processing your application takes a maximum of 15 or 30 working days
depending on the number/size of the document(s) applied for;

• You are entitled to access and rectify your data during the processing
of your application;

• During any steps of the process, you have the right to have recourse to
the European Data Protection Supervisor.

Dear PAD,

Thank you for aknowledging my request. In your reply you outline that you require a copy of my ID to prove that I am an EU citizen.

I have to note that I have already provided my address to you in the original request which is clearly an EU address (Rue d'edimbourg 26, Brussels Belgium) which should suffice for, and 2) the current practice across the EU institutions is to ask only for the address so I do not understand why it would be any different for your service.

Could you please point out to me where the prerequisit to demand proof of ID is inscribed in the Access to Documents regulation?

Dear Ms da Silva,

Further to your email of 7 March 2019, on 8 March 2019 we explained to you legal framework of Regulation (EC) 1049/2001 in detail, which ensures that EU citizens and permanent residents can avail themselves of the rights under this Regulation. As we had not heard back from you, we invited you on 21 March 2019 to submit the necessary documents by Thursday 28 March 17:00 Warsaw time. Your email of 24 March 2019 did not contain any documents to this extent. To date, we have not received the necessary documentation from you.

We note that your email of 22 May 2019 does not contain such documentation either and invite you again to submit the documents as already explained in our email of 8 March 2019 to enable us to commence processing your application.
