Thank you for your message.

I am happy to clarify. There was a meeting held in on 20 June 2023 between European Commission representatives and a European Ombudsman team with regard to Ombudsman complaint 910/2023/SF. The note of that meeting states in the last paragraph that: "Following the meeting, the Commission representatives provided the Ombudsman inquiry team with the Commission’s policy on processing public access requests concerning staff members in non-managerial positions." Hence I am requesting a copy of this policy document.

The meeting note only identifies by name the Ombudsman staff who were at the meeting, not those from the Commission, but I presume you would be able to find out - there were four members of DG HR present - and then ask those people for a copy of the document.

In terms of the timeframe, understood. Just to note that at least one working day has elapsed since I submitted my request, which was on Monday 28 August, so that would mean that there are, at most, 14 working days remaining :)

able to gather all the elements necessary to carry out a full analysis of
your request. Due to the need to conduct internal consultations we will
not be able to send you the reply within the prescribed time limit

Therefore, in line with Article 7(3) of [1]Regulation (EC) No 1049/2001,

Thanks very much for this response to my request and for the document provided, the Guidance Note on Access to the Names and Functions of Commission State, reference Ares(2021)5653089, received on 23 October 2023, in response to my request of 28 August 2023.

I would be most grateful if you could also provide me with a copy of this document in a rather more editable format, since this PDF seems to be locked. For intance, a Word version of the document would be very helpful.
I note that Regulation 1049/2001 states in Article 10.3 that "Documents shall be supplied in an existing version and format (including electronically or in an alternative format such as Braille, large print or tape) with full regard to the applicant's preference." My preference is to have have access to this document in a more digital and editable format.
