Thank you for your answer. To clarify, this request is made solely in the interest of transparency, with the aim of understanding how the requests have been handled during the process. To the best of my knowledge, similar requests have been made in the past.

Thank you for the clarification.

All access to documents requests are handled as follows: we assess the scope of the request and distribute the requests to the competent units, that then retrieve the documents they have within the scope of your request. If no documents match the scope of the request, we still prepare a reply explaining that to the applicant.

After the document retrieval is done, we analyse each document in accordance with the exceptions of Article 4 of Regulation 1049/2001, and if one or more exceptions are applicable, the documents are redacted totally or partially. Usually, the vast majority of the documents tend to have at least redactions regarding personal data (article 4(1), b) of Regulation 1049/2001).

After all this process is done, we compile the documents and prepare a written reply that have to go through an internal procedure of revision of higher management and finally the signature of the Director or Director-General - depending on the cases.

Finally, the reply and the relevant documents are sent out to the applicant, who can still ask for a confirmatory request within 15 days in case he or she is not satisfied with the reply and justification of redactions.

Dear Ms Gache,

We refer to your request for access to documents, registered on 20/07/2025
under the above mentioned reference number.

Your application is currently being handled. However, we will not be in a
position to complete the handling of your application within the time
limit of 15 working days, which expires on 19/08/2025.

An extended time limit is needed as in order to retrieve the documents
requested, large files have to be examined.

Therefore, we have to extend the time limit with 15 working days in
accordance with Article 7(3) of Regulation (EC) No 1049/2001 regarding
