Dear Trade,

Under the right of access to documents in the EU treaties, as developed in Regulation 1049/2001, I am requesting all documents (starting from 01/01/2024) related to meetings between representatives of DG Trade and industry actors (including trade associations, law firms and individual companies) with regard to the EU-US Trade and Technology Council.

These documents should include:
- all agendas for each of these meetings;
- any record of the aforementioned meetings. This may include, but not necessarily be limited to, minutes of the meetings, verbatim reports of the meetings, transcripts etc, that would provide a record of the proceedings of the meetings;
- all documents prepared or received for the purpose of these meetings and/or distributed among the attendees before or during the course of these meetings (such as – but not limited to handouts, leaflets, briefings or background notes);
- all correspondence sent or received in preparation for these meetings and/or in order to arrange these meetings, including all attachments;
- all documents prepared or received with regards to and/or as a follow up to these meetings;
- all correspondence sent or received with regards to and/or as a follow up to these meetings, including all attachments.

Dear Mr Vranken,

We refer to your email application for public access to documents of 26
March 2024, registered on 27 March 2024 under the EASE reference number
2024/1737.

Your application is currently being handled and the reply to it should be
finalised very soon.

However, we will not be in a position to complete the handling of your
application within the time limit of 15 working days, which expires on 22
April 2024, i.e. today.

An extended time limit is needed as in order to retrieve the large number
of requested documents, large files have to be examined.

Therefore, we have to extend the time limit by 15 working days in
accordance with Article 7(3) of Regulation (EC) No 1049/2001 regarding
public access to documents.

The new time limit expires on 15 May 2024.

We apologise for this delay and for any inconvenience this may cause.

Dear Mr Vranken,

 

Thank you for your kind status request message.

Please accept our sincere apologies for our delayed processing in this
case.

 

Please find here below, what we received back from the operational unit in
charge as regards the status of your application:

‘We have identified around 14 documents which fall under [the] request.
Currently we are in the finalisation stage of the analysis of these
document.’

 

We also noticed that the operational unit in charge of this file is
processing now (since this morning) the reply letter together with a high
number of documents in the internal administrative approval chain,
nevertheless requiring the signature of the Director-General, as it seems.

We cannot concretely predict, how long this internal processing will take
in terms of concrete days, but we can assure you that your case has
amongst many others become a priority case.

The response should be ready to be sent out in a roughly foreseeable
timeframe though, even if we are not in a position to provide you today
with a concrete date.
